Main Responsibilities

Office & Facilities Coordination – Oversee premises facilities and communicate with building managers & landlords, manage refurbishments, maintenance and workplace design elements. Assist with local Health & Safety policies, systems and processes. Manage all office vendors and accounts (such as mobile phones, catering, parking etc.). Manage space planning and desk allocation.

Front of House - Overseeing all daily office operations with a mission to create an excellent experience of our office for internal and external visitors. Ensuring the highest levels of hospitality, efficiency and experience curation are maintained. These include essential services such as; reception, administration, security, taxis, mail, parking, office supplies, cleaning, catering, waste disposal and recycling. This involves support from an Office Coordinator.

Security and Accessibility - Being a champion for the protection of Group staff, brand and products. Ensuring that the office is always secure, all external visitors and suppliers have followed appropriate security procedures and keeping our office compliant with data protection or other standards. This involves management of access card and CCTV systems.

Health and Safety at Work - Investigate and address safety problems and environmental upsets. Monitor and inspect operations, equipment, facilities and work habits to detect hazardous conditions and practices and recommend corrective or proactive actions to assure the safety of employees and protection of the environment. Maintain and implement the facility Emergency Response Plan. Ensure the safety of workplace personnel during emergency conditions.

Onboarding – Ensure the process of welcoming a new starter from hiring date up to the end of their training programme runs smoothly. Work with the People Team to integrate new colleagues into the local office culture, organise events and inductions. Ensure all practical equipment is set up and paperwork is accessible for a smooth and enjoyable first few weeks.

Events - Ideate and successfully deliver end-to-end execution of company events; managing budgets, multiple production and supplier relationships from concept through to delivery. Aim to deliver productive off-sites for teams, recruitment fairs, memorable team-builds and world-class parties.

Wellness - Oversee the corporate wellness program, offerings and new initiatives in Medellín.

Global Mobility – Local coordination of business trips, conferences and relocation support.

Employee Engagement - Oversee social media accounts and employer brand content production, stirring internal and external engagement with the office.

Budget Management - Organizing, overseeing and managing the local office and events budgets.

Administration - Own and deliver ad hoc requests or projects from Business Operations or other teams.

Health and Safety Specialist – You will take care of each member at the office and make sure that no harm and correct practices are perform within workplace. Previous experience related to HSE is surely valued.
